Terms and Conditions

Swim School membership, fees and attendance

1. Lesson Fees

  • Payment for lessons is accepted only by Direct Debit through our payment partner, GoCardless.
  • Invoices are issued on the 1st of each month and become due on the 9th. After this date, we are unable to make changes to that month’s payment.
  • Payments are collected by GoCardless shortly afterwards and will typically leave your account around the 14th of the month.
  • The annual cost of lessons is spread evenly over 12 months. Your monthly invoice therefore remains the same, even when a month contains a school holiday.
  • The Club reserves the right to amend lesson fees at any time, provided that at least one full month’s notice is given.
  • If a child changes venue or moves from a 30-minute class to a 60-minute class, the monthly fee will be adjusted from the 1st of the following month.

2. Non-Payment of Fees

  • If any fees remain unpaid for more than two months after the due date, the swimmer’s membership may be terminated.
  • If payment has been delayed because of technical difficulties or financial hardship, it is essential that the member contacts us as soon as possible to discuss the situation.

3. Joining Costs

  • We do not charge a joining fee, but we do require a deposit equal to one full month’s fee.
  • The deposit will be returned when a child graduates or otherwise leaves the Swim School. It may be used to fund the swimmer’s final invoice.
  • The first month’s invoice may be charged on a pro-rata basis, calculated to the nearest half month.

4. Cancellation Notice – Leaving Stingrays

As lesson fees are annualised and collected in 12 equal monthly instalments, we require one full calendar month’s notice of cancellation.

  • Notice must be given in writing, preferably by email, to the Swim School Manager at [email protected].
  • Notice received at any time during a calendar month will take effect at the end of the following calendar month.
  • Monthly fees remain payable until the swimmer’s membership ends.

Examples

Notice given on 1 May: membership ends on 30 June.

Notice given on 15 May: membership ends on 30 June.

Notice given on 31 May: membership ends on 30 June.

Any Swim School member who cancels and then rejoins within three months will be charged a rejoining fee equal to one month’s lesson fee.

5. Cancellation and Postponement of Sessions

  • In the event of force majeure, the Swim School is not liable for delays or cancellations caused by circumstances beyond its reasonable control.
  • We will make reasonable efforts to reschedule affected sessions, but refunds may not be offered.
  • If a session is cancelled because of circumstances within our control, we will seek to offer a suitable alternative.

6. Attendance

  • If a child does not attend lessons for more than four consecutive weeks without contacting us, they may be deemed to have left the Swim School.
  • In these circumstances, membership may be cancelled and no refund will be offered.

7. Long-Term Absence

  • Please inform us as soon as possible if your child is expected to miss more than one month of lessons.
  • We can only guarantee that a place will be retained if the applicable lesson fees continue to be paid.
  • A rejoining fee may apply if the swimmer returns within three months of leaving.

8. General Guidelines and Policies

  • Teachers may accompany children in the water when necessary.
  • Photographs or videos may be used for promotional purposes unless you have opted out.
  • Please do not bring children to lessons if they are unwell.
  • Children should not eat during the hour immediately before swimming.
  • Please ensure that children shower before entering the pool.
  • Large bags should not be brought onto poolside.

9. Assessment and Progress Reports

  • Children are continuously assessed during their lessons.
  • Formal assessments are normally carried out once or twice during each term.
  • Progress reports are provided as a guide and do not guarantee progression to the next stage.
  • Teachers may recommend that a swimmer changes class or stage at any time when they consider the swimmer ready.

10. Complaints, Feedback and Comments

  • Please direct any questions, feedback or concerns to the Swim School Manager.
